Public directory of procedures

According to Section 4g (2) sentence 2 BDSG, every association must create a public register of procedures to inform the public, which must be made available to any interested party, including non-association members, on request. The content is regulated in detail in Section 4e Nos. 1 to 8 BDSG.

Purpose of the data collection:
Collection, processing and use of member data for the purpose of association administration: requesting and administering membership fees, collecting the names and addresses of officers in the association; general correspondence; processing and use in the context of membership of the state and federal association; use of member data to advise individual members in the context of the purpose of the membership relationship, forwarding to the legal expenses insurance company to process insurance claims, forwarding to DMB-Verlags- und Verwaltungsgesellschaft mbH to send the tenant magazine.

Description of the groups of persons concerned and the relevant data or data categories:
Essentially, the personal data of association members is collected and processed. Those persons who were members of the association will also be affected for an appropriate period of time in order to process their membership relationship. Data on the name, place of residence, membership relationship, duration of membership and, if applicable, insurance-relevant data in connection with legal expenses insurance are collected and processed.

Recipient of the data:
In order to send the tenant magazine and if legal expenses insurance is in place, the necessary data will be passed on to DMB-Verlags- und Verwaltungsgesellschaft and DMB-Rechtsschutzversicherung. In individual cases, it is necessary to pass on personal data (e.g. in consultation files) to lawyers working externally. In such cases, data protection is also guaranteed there.

Standard deadlines for the deletion of data:
The legislator has issued various retention obligations and periods. After these periods have expired, the corresponding data is routinely deleted, provided that it is no longer required for the fulfilment of the contract, e.g. as part of a consultation or for the administration or processing of the membership.

Data transfer to third countries outside the EU:
There are no plans to transfer data to third countries outside the EU.

General description to ensure data protection:
The Mieterverein Köln im Deutschen Mieterbund e.V. guarantees the confidentiality of personal data collected, processed or used by the association through appropriate technical and organisational measures. Personal data is only collected, processed and passed on within the association for the appropriate administration of memberships and as part of the provision of services in accordance with the articles of association.
